HANA QMS

Trust & compliance

Your data, only yours

HANA QMS collects the minimum about your customers, keeps every company’s data separate, and records every action in a history nobody can rewrite.

Eight safeguards

Private by default, isolated by design

Customer data stays minimal, every company's data stays its own, and every action leaves a trail nobody can rewrite.

  • One shared database, strict company isolation
  • The display shows numbers and counters only
  • Names and mobiles removed after 90 days by default
  • Strict company isolation

One shared database with strict company isolation. A company only ever sees its own users, settings, tickets and reports, including through public pages and exports.

    • Isolation is verified by security testing before each major release.
    • Public pages and exports are scoped to one company and one branch.
    • Staff only see the branches they are assigned to.
    • Platform staff cannot read customer names or mobile numbers outside a logged support session.
  • httpOnly sessions

Sessions live in secure, httpOnly cookies that page scripts cannot read, and end after the period of inactivity you set.

    • Every staff member signs in with a personal account; shared logins are not supported.
    • Sessions end after a company-defined period of inactivity.
    • All traffic is encrypted.
    • The last sign-in time of every user is recorded.
  • Account lockout

Repeated failed sign-ins lock the account for a while, and admins can see it. Temporary passwords must be changed at first sign-in.

    • Passwords must meet a minimum strength for every role.
    • New accounts get a secure temporary password, shown once, to change at first sign-in.
    • Admins set password rules, session timeout and sign-in lock settings.
    • The last active admin of a company cannot be removed or deactivated.
  • Append-only activity history

Queue actions, admin changes, exports and support access are recorded with who, what and when, and cannot be altered.

    • Every ticket event: registered, called, recalled, started, completed, skipped, transferred, parked, cancelled.
    • Each entry shows time, ticket, staff member, counter and the previous and new status.
    • Service, counter, staff and settings changes are logged with who changed what.
    • No user can edit or delete an entry.
  • Data retention & PII removal

Choose how long names and mobile numbers are kept, 90 days by default. Then personal fields are removed while counts and times stay in reports.

    • A name is required; a mobile number is optional and used only for the status lookup.
    • After the retention period, names and mobile numbers are removed from tickets.
    • Counts, waiting times and service times stay in reports.
    • A person’s data can be deleted on request.
  • Data Privacy Act alignment

A privacy notice on the registration page, minimal data, retention limits and deletion on request. The display shows numbers and counters only.

    • Show a short privacy notice on the registration page explaining how data is used.
    • Public pages never show another customer’s name or mobile number.
    • Priority is shown as a symbol only, never as the reason.
    • Retention limits and deletion on request support your duties as data controller.
  • WCAG 2.1 AA public pages

Registration, ticket and status pages work with a keyboard and screen readers, use readable contrast and never rely on colour alone.

    • Large touch targets in portrait and landscape on tablets and desktops.
    • Every control reachable and usable with a keyboard.
    • Status is always written out, never shown by colour alone.
    • Calls are both shown on screen and announced by voice.
  • Backups & restore

Download your configuration and queue data whenever you like, and restore after a clear warning. The platform keeps its own daily backups too.

    • Admins download a backup of configuration and queue data at any time.
    • Restoring shows exactly what will be replaced and needs a typed confirmation.
    • Every backup and restore is recorded in the audit log.
    • The platform keeps its own separate backups of every company.

How it is built

Practices, not promises

The specific ways HANA QMS keeps each company’s data separate, sign-ins safe and every action traceable.

  • Every record tied to its company

One shared database where every row belongs to exactly one company, and every query is filtered by it.

  • Deny by default

Each page and action checks the user’s role and that this specific record belongs to their company and branch.

  • Secure, httpOnly sessions

Session cookies are httpOnly, Secure and SameSite, and end after the idle time your admins set.

  • Lockout and strong passwords

Repeated failed sign-ins lock the account and email the admins. Passwords meet a minimum strength.

  • Encrypted transport

All traffic between browsers, displays and the service is encrypted.

  • Rate-limited public pages

Sign-in and public pages such as the status lookup limit repeated requests, so queue numbers cannot be guessed.

  • Append-only logs

Queue activity and the audit log record who did what and when, and no user can edit or delete an entry.

  • Visible support access

Platform staff enter a workspace only through a logged support session, and the company admin can see that log.

  • Automatic data removal

After the configured number of days, names and mobile numbers are removed from tickets; counts and times stay.

  • Backups with typed confirmation

Restoring a backup shows what will be replaced and needs a typed confirmation, and is recorded in the audit log.

  • WCAG 2.1 AA public pages

Registration, ticket and status pages work with a keyboard and screen readers and never rely on colour alone.

  • Independent testing

The product is tested for common web vulnerabilities, aligned with the OWASP Top 10, before launch and at least yearly.
